Privacy Policy

Synapse Solutions LLC ("Company", "we", "us"), a Wyoming limited liability company, operates Scoutly (the "Service"). We are the controller of personal information processed through the Service. This Privacy Policy explains what we collect, how and why we use it, who we share it with, and the rights you have.

1. Information We Collect

Account data: Email address, name, and a one-way password hash when you register.

Payment data: Billing details are processed by Stripe. We never receive or store full card numbers — Stripe handles card data under its own PCI-DSS compliance.

Usage data: Campaigns created, leads scraped, credits consumed, feature interactions, and timestamps.

Technical data: IP address, browser/device information, and strictly-necessary cookies used for session management, security, and abuse prevention.

Business data you request: Publicly-available business information retrieved by our engine on your behalf (business names, addresses, phone numbers, website data). If you use the skip-trace feature, identifiers you submit are sent to our skip-trace provider to return a dossier.

2. How We Use Your Information & Legal Bases

  • To provide, operate, and secure the Service (legal basis: performance of a contract)
  • To process payments and manage your subscription (contract)
  • To send transactional email — receipts, password resets, security notices (contract / legitimate interests)
  • To monitor usage, prevent abuse, and enforce our Terms (legitimate interests)
  • To comply with tax, accounting, and legal obligations (legal obligation)

Where we rely on consent (e.g. any future non-essential cookies or marketing email), you may withdraw it at any time. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

3. Cookies & Tracking

Scoutly currently uses only strictly-necessary cookies — the authentication session, a CSRF token, and rate-limit anchors. These cannot be disabled because the Service cannot function without them.

We do not run Google Analytics, the Meta/Facebook pixel, TikTok, or any third-party advertising or cross-site tracking technology. If we ever add an optional analytics tool, it will be loaded only after you opt in through our cookie banner and will respect the Global Privacy Control (GPC) signal. You can re-open your choices any time via the Do Not Sell or Share My Personal Information control in the footer.

4. Third-Party Service Providers (Sub-processors)

We disclose data to the following providers solely to operate the Service:

  • Stripe — payment processing
  • Vercel — application hosting and infrastructure
  • Neon — managed PostgreSQL database hosting
  • Resend — transactional email delivery
  • Cloudflare — bot mitigation (Turnstile) and the scraping engine
  • Anthropic — AI sentiment and outreach drafting (no account credentials shared)
  • PRISM — optional skip-trace dossier lookups

Each provider is bound by its own privacy terms and a data-processing agreement where applicable.

5. Do Not Sell or Share My Personal Information

We do not sell your personal information for money or other valuable consideration, and we do not share it for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act (CCPA) as amended by the CPRA. Because no such sale or sharing occurs, there is nothing to opt out of — but you may still register your preference at any time using the Do Not Sell or Share My Personal Information link in our footer, and we automatically honor the Global Privacy Control (GPC) browser signal as a valid opt-out request.

6. Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the right to:

  • Know the categories and specific pieces of personal information we collect and the purposes
  • Request deletion of your personal information
  • Correct inaccurate personal information
  • Opt out of any sale or sharing of personal information (we do neither)
  • Limit the use of sensitive personal information
  • Not be discriminated against for exercising these rights

Categories collected: identifiers (email, name, IP), commercial information (subscription and usage), and internet activity (feature interactions). To exercise a right, email privacy@scout-ly.app. We verify requests using your account email and respond within 45 days.

7. Your GDPR / UK Rights & International Transfers

If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the rights of access, rectification, erasure, restriction, portability, and objection, and the right to lodge a complaint with your supervisory authority. To exercise these rights, email privacy@scout-ly.app; we respond within one month.

Some of our providers are located in the United States. Where personal data is transferred out of the EEA/UK, we rely on an appropriate transfer mechanism — the EU-US Data Privacy Framework where the recipient is certified, or the European Commission’s Standard Contractual Clauses together with a transfer impact assessment.

8. Data Retention

We retain account data while your account is active. Scraped lead data is retained until you delete it or close your account. Billing records are retained as required by law (typically 7 years). When you delete your account we delete or de-identify your personal data within 30 days, except where retention is legally required.

9. Security

We implement industry-standard safeguards including TLS in transit, encrypted database storage, bcrypt password hashing, optional two-factor authentication, rate limiting, and restricted access controls. No system is 100% secure, and we cannot guarantee absolute security. If a breach affects your personal data, we will notify you and the relevant authorities as required by law.

10. Children’s Privacy

Scoutly is a business tool not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us data, contact us and we will delete it.

11. Changes to This Policy

We may update this policy and will notify you of material changes by email or in-app notice. The “Last updated” date above reflects the most recent revision.
